Guide · Cognito Forms → Notion
Cognito Forms to Notion without Zapier
Cognito Forms has no first-party Notion button. Teams usually bridge with Zapier, Make, Pabbly, or Power Automate — or post JSON webhooks / call the Cognito API. If Notion is the only system of record, a direct Notion form can skip Cognito entirely. Here are four routes. No fake metrics or testimonials.
Your four options
| Route | How it works | Cost | Catch |
|---|---|---|---|
| Cognito Forms → Zapier / Make / Pabbly / Power Automate → Notion | On a paid Cognito plan, connect an automation platform (Zapier, Make, Microsoft Power Automate, or Pabbly). Trigger on New Entry, then Create Notion database item and map fields. Zapier ships a Cognito Forms → Notion template; Pabbly often uses Cognito’s “Post JSON data to a website” webhook URL. | Cognito Pro/Team/Enterprise (automation platforms are not on Free) plus an automation tool (Zapier free tier is limited; paid plans often start around $20/mo). | Two subscriptions for a hop Cognito does not offer natively to Notion. Multi-step routing is the main reason to keep this stack. |
| Cognito JSON webhook → your endpoint → Notion API | In form Settings enable Post JSON Data to a Website and set Submit Entry Endpoint to your HTTPS URL. Your server receives each entry as JSON and calls Notion’s create-page API with retries and field mapping. | Developer time + hosting. No monthly Zapier fee if you already run a small server. Cognito paid plan still required for webhooks on most accounts. | You own auth, rate limits, schema drift, and monitoring. Overkill for a simple contact form. |
| Cognito Forms API → Notion (poll or scheduled sync) | Create an API key on Pro/Team/Enterprise, then GET entries from https://api.cognitoforms.com and upsert rows into a Notion database on a schedule (or via a connector that polls the API). | Cognito paid plan + optional connector (e.g. Note API Connector-style tools) or custom cron. No per-submission Zapier bill. | Near-real-time only if you poll often. Not a substitute for Cognito’s payments, calculations, or document generation staying inside Cognito. |
| Embed a form that writes to Notion directly | Build the form in FormToNotion and paste one iframe on your site when Notion — not Cognito’s branded form UX — is the only intake destination you need. | Free inbox; live Notion sync is a one-time Pro $20 or Business $49. | This does not replace Cognito Forms’ payments, calculations, repeating sections, file uploads, or advanced logic. It does not import past Cognito entries. |

Setting up the embed route
- In Notion, create a database with the columns you want, for example
Name,Email,Message. - Sign up and build the form, naming each field exactly like its Notion property.
- In Dashboard → Connect Notion, paste your Notion internal integration secret and database id, then share the database with the integration (••• → Add connections). Live sync to your own Notion is a Pro or Business feature.
- On your site, add an HTML / embed block and paste:
<iframe src="https://www.vgt.cc/f/your-slug" title="Contact form" style="width:100%;min-height:640px;border:0" loading="lazy"></iframe> - Publish the page, submit once yourself, and check the new row in Notion.
Stay with Cognito Forms when…
- You already pay for Cognito and need its calculations, repeating sections, payments, or document generation.
- A light Zapier / Make / Pabbly / Power Automate hop covers your Notion field mapping.
- Respondents must stay on a Cognito-hosted experience you already customized.
Use an embedded Notion form when…
- Notion is the only intake destination and you do not need Cognito’s advanced features.
- You want Notion rows without a monthly Cognito + Zapier stack.
- The same form also needs a public link or iframe outside Cognito.
Honest limits
- FormToNotion does not read or import existing Cognito Forms entries.
- No Cognito payments, calculations, repeating sections, file uploads, signatures, or full form logic parity.
- No conditional logic beyond basic field types.
- Field labels must match Notion property names for a row to map correctly.
- The free plan stores submissions in the FormToNotion inbox but does not sync to Notion.
