Guide · Formstack → Notion
Formstack to Notion without Zapier
Formstack has no first-party Notion button. Teams usually bridge with Zapier, Make, Integrately, or Zoho Flow — or post Formstack webhooks / call the Formstack API. If Notion is the only system of record, a direct Notion form can skip Formstack entirely. Here are four routes. No fake metrics or testimonials.
Your four options
| Route | How it works | Cost | Catch |
|---|---|---|---|
| Formstack → Make / Integrately / Zoho Flow / Zapier → Notion | Connect Formstack’s New Submission trigger to a Notion Create database item / Create page action in Make, Integrately, Zoho Flow, or Zapier. Map Formstack fields to Notion properties. Zapier, Make, and several cheaper connectors all publish Formstack ↔ Notion recipes. | Formstack subscription (plan-dependent) plus an automation tool (Zapier free tier is limited; paid plans often start around $20/mo; Integrately/Make can be cheaper at low volume). | Two subscriptions for a hop Formstack does not offer natively to Notion. Keep this stack when you also route the same submission to CRM, Slack, or email. |
| Formstack webhook → your endpoint → Notion API | In Form Settings → Emails & Actions → Advanced Settings, add a WebHook URL. Formstack POSTs each submission (URL-encoded or JSON) to your HTTPS endpoint; your server calls Notion’s create-page API with retries and field mapping. Webhooks can also be created via Formstack’s API. | Developer time + hosting. No monthly Zapier fee if you already run a small server. Formstack plan still required. | You own auth, HMAC/shared-secret verification, rate limits, schema drift, and monitoring. Overkill for a simple contact form. |
| Formstack API → Notion (poll or scheduled sync) | Use Formstack’s REST API to list submissions for a formId on a schedule, then upsert rows into a Notion database (custom cron or a connector that polls Formstack). | Formstack plan + optional connector or custom cron. No per-submission Zapier bill. | Near-real-time only if you poll often. Does not replace Formstack’s payments, workflow approvals, or HIPAA/security features staying inside Formstack. |
| Embed a form that writes to Notion directly | Build the form in FormToNotion and paste one iframe on your site when Notion — not Formstack’s branded form UX — is the only intake destination you need. | Free inbox; live Notion sync is a one-time Pro $20 or Business $49. | This does not replace Formstack’s payments, advanced logic, file workflows, or compliance suite. It does not import past Formstack submissions. |

Setting up the embed route
- In Notion, create a database with the columns you want, for example
Name,Email,Message. - Sign up and build the form, naming each field exactly like its Notion property.
- In Dashboard → Connect Notion, paste your Notion internal integration secret and database id, then share the database with the integration (••• → Add connections). Live sync to your own Notion is a Pro or Business feature.
- On your site, add an HTML / embed block and paste:
<iframe src="https://www.vgt.cc/f/your-slug" title="Contact form" style="width:100%;min-height:640px;border:0" loading="lazy"></iframe> - Publish the page, submit once yourself, and check the new row in Notion.
Stay with Formstack when…
- You already pay for Formstack and need its workflows, payments, or compliance features.
- A light Make / Integrately / Zapier hop covers your Notion field mapping.
- Respondents must stay on a Formstack-hosted experience you already customized.
Use an embedded Notion form when…
- Notion is the only intake destination and you do not need Formstack’s advanced features.
- You want Notion rows without a monthly Formstack + Zapier stack.
- The same form also needs a public link or iframe outside Formstack.
Honest limits
- FormToNotion does not read or import existing Formstack submissions.
- No Formstack payments, workflow approvals, HIPAA suite, or full logic parity.
- No conditional logic beyond basic field types.
- Field labels must match Notion property names for a row to map correctly.
- The free plan stores submissions in the FormToNotion inbox but does not sync to Notion.
