HubSpot form to Notion without Zapier

HubSpot forms are built for CRM — contacts, lists, and workflows — not for creating Notion database rows. The usual fix is Zapier, Make, or Pabbly on top of HubSpot, which adds a monthly bill whose only job is moving a row. Here are four routes, including when you should stay in HubSpot. No fake metrics or testimonials.

Your four options

RouteHow it worksCostCatch
Stay in HubSpot CRM onlyUse the native HubSpot form (embedded or share link). Submissions create/update contacts and stay in HubSpot lists, workflows, and reports.Included on your HubSpot Free/Starter/Pro plan; no Zapier bill.Notion still does not get a database row. Product/ops teams without HubSpot seats copy leads by hand or live in the CRM UI.
HubSpot Forms → Zapier / Make / Pabbly → NotionTrigger on New Form Submission (or a HubSpot workflow webhook), then Create Notion database item and map fields. Same pattern works in Make and Pabbly Connect.HubSpot plan plus an automation tool (Zapier free tier is limited; paid plans often start around $20/mo).Two subscriptions, one Zap/scenario per form/action, and automations can fail quietly when either side renames properties.
Custom HubSpot webhook → Notion APIHubSpot workflow POSTs the submission to your endpoint; your code calls Notion’s create-page API with retries and field mapping.Developer time + hosting. No monthly Zapier fee if you already run a small server.You own auth, rate limits, schema drift, and monitoring. Overkill for a simple contact form.
Embed a form that writes to Notion directlyBuild the form in FormToNotion and paste one iframe next to (or instead of) the HubSpot embed on your marketing site when Notion — not CRM — is the intake destination.Free inbox; live Notion sync is a one-time Pro $20 or Business $49.This does not replace HubSpot CRM, deal pipelines, or marketing automation. It does not import past HubSpot submissions.

Setting up the embed route

  1. In Notion, create a database with the columns you want, for example Name, Email, Message.
  2. Sign up and build the form, naming each field exactly like its Notion property.
  3. In Dashboard → Connect Notion, paste your Notion internal integration secret and database id, then share the database with the integration (••• → Add connections). Live sync to your own Notion is a Pro or Business feature.
  4. On your marketing site (or HubSpot CMS page), add an HTML / embed block and paste:
    <iframe
      src="https://www.vgt.cc/f/your-slug"
      title="Contact form"
      style="width:100%;min-height:640px;border:0"
      loading="lazy"></iframe>
  5. Publish the page, submit once yourself, and check the new row in Notion.

Stay with HubSpot forms when…

  • Sales and marketing already live in HubSpot CRM and need contact scoring, lists, or deal workflows.
  • You already pay for Zapier/Make and only need a light push into Notion for a side team.
  • Compliance or attribution must stay inside HubSpot’s contact record.

Use an embedded Notion form when…

  • Notion is the real intake (product feedback, waitlists, ops trackers) and CRM is optional.
  • You want Notion rows without a monthly Zapier/Make bill.
  • The same form also needs a public link or embed outside HubSpot CMS.

Honest limits

  • FormToNotion does not read or import existing HubSpot form submissions or contacts.
  • No HubSpot CRM sync, deal creation, or marketing email automation.
  • No payments, file uploads or conditional logic.
  • Field labels must match Notion property names for a row to map correctly.
  • The free plan stores submissions in the FormToNotion inbox but does not sync to Notion.
